The exact scope of each service will depend upon the service booked and the instructions provided to us.
Our reports are intended to provide a written and, where applicable, photographic record of the visible condition of the property at the time of inspection.
Our reports provide an observational record of the property within the scope of the service instructed.
Unless expressly agreed otherwise, our inspections and reports are not:
structural surveys
building surveys
valuations
HHSRS assessments
fire-risk assessments
electrical safety inspections or EICRs
gas safety inspections
asbestos surveys
Legionella risk assessments
energy assessments or EPCs
tests of appliances, services or installations
legal compliance audits.
Where a visible issue is identified, we may record that observation within the report.
The inclusion or absence of an observation should not be interpreted as specialist confirmation that an item, installation or property complies with applicable legislation or technical standards.
Where specialist investigation is required, the client should obtain advice from an appropriately qualified professional.
Our reports are based upon areas and items that are reasonably visible and accessible at the time of inspection.
We cannot be responsible for matters that cannot reasonably be seen or accessed, including areas concealed by:
furniture
personal belongings
floor coverings
stored items
locked areas
inaccessible cupboards or spaces
structural coverings
other obstructions.
We do not normally move heavy furniture, lift fitted flooring, dismantle fixtures or undertake invasive inspections.
Where access to part of a property is unavailable or restricted, this may be recorded within the report where appropriate.
Photographs may be taken as part of our inventory and property reporting services.
They are intended to support the written report and provide evidence of the visible condition of the property at the time of inspection.
While reasonable care is taken when photographing occupied properties, personal belongings may occasionally appear within photographs where necessary to document the relevant area or condition.
Photographs should be considered together with the written report rather than in isolation.
Our handling of personal information and photographs is explained further in our Privacy Policy.
We take reasonable care when preparing our reports.
However, reports represent the condition that was reasonably visible at the date and time of inspection.
Minor items may occasionally be overlooked, particularly where access, lighting, occupancy, belongings or other circumstances restrict visibility.
Clients and other relevant parties should review reports promptly after receipt and notify us of any apparent factual error or omission as soon as reasonably possible.
An Inventory & Schedule of Condition, Check-In Report or Check-Out Report can provide useful evidence concerning the condition of a property.
However, Coopers Inventory Services does not determine:
whether a tenant is legally responsible for damage
whether deterioration constitutes fair wear and tear
whether a landlord is entitled to make a deposit deduction
the amount of any appropriate deduction
liability between landlord and tenant
the outcome of a tenancy deposit dispute.
Those matters depend upon the individual circumstances, tenancy documentation and evidence available and may ultimately be considered by the relevant tenancy deposit protection scheme, tribunal or court.
Our role is to record and report, not to adjudicate.
Mid-Term Inspection Reports provide a record of visible property condition at the time of inspection.
They do not constitute a comprehensive safety or compliance inspection.
Where a report records visible matters such as staining, moisture, mould, damage or deterioration, this does not necessarily establish the underlying cause.
Further investigation by a suitably qualified contractor or specialist may be required.
The client is responsible for providing accurate information reasonably required for us to carry out the instructed service.
This may include:
correct property address
appropriate contact information
access arrangements
relevant appointment information
information concerning keys
relevant previous reports where comparison is required
any particular instructions agreed as part of the service.
We cannot accept responsibility for delays or limitations resulting from inaccurate or incomplete information provided to us.
The person instructing Coopers Inventory Services is responsible for ensuring that appropriate arrangements and permissions are in place for us to access the property at the agreed time.
Where a property is occupied, responsibility for providing any legally required notice and obtaining or arranging appropriate access remains with the landlord, letting agent, property manager or other instructing party.
Coopers Inventory Services does not assume responsibility for establishing the legal right of entry to an occupied property.
Appointments should be cancelled or rearranged with as much notice as reasonably possible.
Where an appointment cannot proceed because:
access has not been arranged
keys are unavailable or incorrect
the property cannot be accessed
the tenant or occupier refuses access
the appointment is cancelled at short notice
circumstances at the property prevent the agreed inspection from being completed
Fees will be confirmed when services are quoted or booked.
Unless otherwise agreed, the client is responsible for paying the charges associated with the instructed service in accordance with the payment terms provided.
Additional charges may apply where additional work, repeat attendance or services outside the original instruction are requested and agreed.
Any applicable payment terms should be confirmed as part of the quotation, booking or client agreement.
We aim to provide completed reports within the timeframe communicated when the service is booked.
Where Coopers Inventory Services advertises its usual 48-hour report delivery, this represents our normal service aim rather than an absolute guarantee where circumstances outside our reasonable control prevent delivery within that period.
Where an unexpected delay occurs, we will endeavour to communicate this to the relevant client.
Unless otherwise stated, the content of this website — including text, branding, graphics, guides and original written material — belongs to Coopers Inventory Services or is used with appropriate permission.
Website content may not be copied, reproduced, republished or commercially distributed without prior permission, except where permitted by law.
Property reports prepared by Coopers Inventory Services are provided for the purposes associated with the relevant property and instruction.

We will not be responsible for delays or failure to perform a service where caused by circumstances outside our reasonable control.
These may include severe weather, travel disruption, illness, property-access problems, technology or communications failures, emergencies or other events that could not reasonably have been avoided.
Where possible, we will contact the client and make reasonable arrangements to reschedule or complete the service.
